Credit memos
A credit memo is a separate document for an amount you owe a customer. It can identify the invoice it corrects without being applied to that same invoice. Its application says which invoice receives the value. A credit issued for one invoice can therefore be used on another eligible invoice for the same customer.
Choose the credit type

Open an eligible invoice and select Correct → Credit. Enter a reason, the credit lines, and the amount. Review the preview before issuing. You can choose to keep the resulting credit on the customer’s account. HaulApp assigns a number such as CM-0001; the issued credit’s contents are frozen. Credits lists issued and observed credits but does not currently start a new credit by itself.
Apply a credit
Section titled “Apply a credit”During issue, choose Apply it to the invoice now or Keep it on account. If the credit exceeds the invoice’s open amount, only the amount the invoice can take is applied and the rest remains on the customer’s account. On the credit page, Apply to an invoice uses that remaining amount on another eligible invoice.
An application must stay within both the credit available and the selected invoice’s open amount. The invoice must belong to the same customer, use the same currency, and be eligible for a local credit. A partially paid invoice may still have an open amount; a fully settled invoice has none. Voided or imported invoices and QuickBooks-linked invoices may require a different accounting workflow. The invoice picker explains why a particular invoice cannot be selected.
The Credits tab on an invoice shows credits that correct it and credits applied to it. These lists need not match. Applying a credit reduces what the customer owes, not the original billed total.
Change or remove a credit
Section titled “Change or remove a credit”An issued credit cannot be edited. Remove its applications before voiding it, then issue a replacement if needed. A local application can be removed with a reason where HaulApp still controls it. For an application already linked to QuickBooks, make and confirm the removal in accounting before the credit becomes available again in HaulApp.
Credits created in QuickBooks appear as read-only observations. If the customer is not mapped, map it first. Classify the credit as a billing error or goodwill so HaulApp knows whether any commission review is needed; classification does not alter QuickBooks’ credit amount or applications.
